Map the overlap

Purpose
Tell real tool redundancy apart from legitimate overlap, and trace duplicate data entry to the specific missing or broken connection causing it.
Inputs
  • The license ledger from Reconcile what you pay for
  • A walkthrough from whoever owns each overlapping tool
Method
  1. Group tools by capability category and check who uses each one and why, rather than assuming overlap is waste
  2. Record a defensible reason for every tool that stays: a different team workflow, a compliance or client requirement, a migration underway
  3. For duplicate data entry, trace the re-typing back to why no connection exists: no API, no owner, or a broken integration
  4. Size the labor cost of duplicate entry separately from any software-spend finding
Output
A capability map with a reason recorded for every tool that stays, and duplicate-entry findings traced to their cause.
